[A Prima Proof transcriber] assisted me with the transcription of several taped focus group discussions. This was a tedious task as each recording contained multiple voices from varying distances. [She] showed a great degree of preciseness and accuracy in deciphering the audiotapes, and she did so in a timely and cost-effective manner. Her conscientiousness and professionalism were immensurable. She saved me many hours of work and was a very pleasant person to do business with. I recommend
her highly and
would not hesitate to request her services again.

Citation Style Support

1. Will you check my citations for the correct information, such as     properly spelled author names, accurate publication dates, correct     page numbers, etc.?

We use the information you provide to check your citations for style and consistency only. If we suspect that a name, title, or date is incorrect, we will point it out for you to research further.

2. Will you create my reference page or bibliography for me?

Yes. In order for us to do that, you need to supply us with complete citation information for each source, including author, publication date, title, publisher, and so forth.

3. English is not my first language. Can you help me?

Certainly. We have worked with many non-native English speakers, and although some of their writing issues are different from those of native English speakers, the goal is the same: clear and correct writing. All of our document services are available to non-native English speakers, but we do not transcribe in languages other than English.

4. I’m a good writer. Why would I need an editor?

All writers can benefit from a good editor. We work with writers of all levels of ability and have never seen a perfectly clean and understandable manuscript. Even very good writers sometimes have trouble with punctuation, grammar, or organization, and everyone has had the experience of feeling too close to their own writing to know what works and what doesn’t. Writing and editing are two related, but distinct, endeavors, and good writers are not necessarily able to edit their own work thoroughly. In fact, the editors at Prima Proof routinely give our writing to one another for editing.

5. Aren’t spell check and grammar check sufficient for editing?

Wouldn’t it be nice if they were? Unfortunately, spell check and grammar check have serious limitations. Spell check is a useful tool, but it is not perfect. For example, if the word “from” were spelled incorrectly as “frmo,” spell check would catch it, but if it were spelled “form,” spell check would ignore it because “form” is a word, even though it’s not the word the writer intended.

Grammar check is even more problematic because of its tendency to get things wrong. For example, in this sentence, “I shouldn’t say it’s forever,” grammar check suggested changing “it’s” to “its,” which is incorrect. (“It’s” means “it is,” and “its” is possessive.)

Grammar check also cannot determine whether a sentence makes sense. This sentence, “Bolivia is in Antarctica,” is fine according to grammar check because the grammar is correct, even though the statement is false. Grammar check cannot determine whether the writer wrote this statement deliberately or mistakenly. However, the editors at Prima Proof can.

And grammar check can do nothing at all about correcting sentence flow or organization. For that, you also need an editor.

If you’re still not convinced, read the following sentence that spell check and grammar check verified as accurate:
“I went form hear to their, for hi to lo, and found its needed an editor.” (The corrected sentence should read: “I went from here to there, from high to low, and found I needed an editor.”)

7. Can you ensure confidentiality of my research tapes or digital     files?

Yes. The only people to hear or see your research will be those working on the transcription. We do not discuss research content with anyone who is not directly involved in transcribing your work. If participants are named, we can omit their names or assign false names as per your instructions.

An Important Consideration: Often, a researcher will promise confidentiality to his or her study participants without mentioning that a transcriber will hear the interview tapes or digital files. This may be because the researcher simply forgot to mention it or did not anticipate hiring a transcriber. If we hear a researcher promise confidentiality to a research participant without stating that a transcriber will hear the interview, we will continue to transcribe the tape or digital file, but we will make a note within the transcript to allow the researcher to follow the appropriate protocol of his or her institutional review board.

8. Wouldn’t using voice-recognition software be easier and less     expensive than hiring a transcriber?

Unfortunately, not yet. Current voice-recognition software must be “trained” to recognize individual voices, so all research participants - the interviewer as well as the interviewees - would need to spend several hours each training the software. Furthermore, the software is much less accurate than a human transcriber, so someone would still need to review transcripts and make corrections. The time investment required by voice-recognition software makes it an ineffective tool in virtually all research situations.

Ethics

9. I’m a student and I want to make sure that hiring an editor is not     cheating.

It is very common for a professor to suggest that students ask a friend or classmate to proofread their writing. Sometimes professors even set aside class time for students to peer edit one another’s work. This is not unlike what we do here at Prima Proof, except that our professional editors can guarantee thoroughness, accuracy, and consistency. Many professors recognize the value of a professional editor and have suggested us to their students. And, you can always direct your professor to our website to be certain he or she would approve of your hiring us.

10. Why can’t students order a Level III edit?

A Level III edit includes extensive rework on a document. For ethical reasons, we will not perform this level of service for students. Please see our Ethics page for further information:

13. Can I send you a hard copy (a paper copy) rather than an      electronic one?

Yes, but it’s easier for you and us if you send it electronically. On electronic documents, we use Microsoft Word’s “track changes” function to make editing changes to the original. Then we e-mail you two versions: one with all of our changes marked by “track changes,” and the other with all the changes incorporated. On the “track changes” version, you are able to easily review and accept or reject editing changes we’ve made.

On a hard copy, we will make changes by hand, but you will then be responsible for incorporating them into your document. This method ultimately costs you more because it requires more of a time investment from you and increases the possibility of error or misunderstanding. There is also a nominal fee added for working from a hard copy.

15. How long will it take?

It depends on how long your document or audio research is, what kind of work you want done, and what kind of deadline you have. Though we can work within most deadlines, even very tight ones, the earlier you can send us your work, the better. When you order our services, we will work out a timeline right away so that you know when you can expect your work back.
